While use of mobile devices and tablets in medical situations is pervasive; HIPAA compliant synchronization and storage of such information is often seriously lacking. Everyone knows email can contain ePHI, but calendar appointments, address books, and task lists can and do contain just as much ePHI and their secure use must be strictly enforced.
LuxSci’s WebAide collaboration tools, combined with MobileSync for real-time synchronization with mobile phone and tablets (and Outlook 2013), provide a simple and effective HIPAA compliant solution for synchronized mobile accessible calendars, contacts and reminders or tasks (oh ya, and email).

A simple, but fun and useful feature! LuxSci Address Book WebAides now support the addition of a custom picture for each contact. This picture can be viewed when looking at the contact details in the web interface and can be added/replaced/removed using the Address Book entry edit screen.
You can add pictures of any size and format — they will be automatically converted and sized for you.
Contact pictures also work seamlessly with LuxSci Mobile Sync:
- Pictures associated with a contacts on your mobile device are automatically synchronized to your LuxSci Address Books, are visible in the Web Interface, and will synchronize to other mobile devices you may have configured to synchronize with that same address book
- Images added in the LuxSci Web Interface will automatically by sent to your mobile devices and will appear there, associated with the contacts.

The Beta period is over! LuxSci now offers its Mobile Sync service to all new and existing customers.
Mobile Sync provides real-time automatic synchronization of your LuxSci Calendars, Address Books, and Tasks with your mobile device(s). Premium Mobile Sync also includes outbound email and Push Email for real-time email updates without the significant battery drain that IMAP and POP incur. Mobile Sync is:
- Quick and easy to setup (easier than setting up a regular email account on your phone)
- Fast and reliable
- Very secure (available for use in HIPAA accounts).
New customers can select “Mobile Sync” when customizing their order/package. Existing customers can add Mobile Sync using the “Upgrade Wizard” in their account administration area.

LuxSci WebMail supports the export of address book entries as vCard files and of calendar entries as iCal files. Now, WebMail further integrates your email with your address book and calendars.
If you receive an email message with a vCard file or an iCal file (or even an Outlook/Exchange meeting notice) as an attachment:
- That attachment will be parsed and displayed nicely inline in WebMail
- You will be able to send vCard attachments to your WebAide Address Book to add as new contacts
- You will be able to send iCal attachments to your Calendars as new events
Additionally, from within your address book or calendar you can select entrie(s) and click on “Send as vCard” or “Send as iCal” to compose a new email message with those entries attached.
LuxSci WebMail and WebAides makes it easy to send and receive calendar and address book entries between LuxSci users and other users whose email programs support these standard event and contact attachment file formats.

Update Sept. 2012: Our entire WebAide collaboration suite of tools is now included for all users in new accounts at no extra charge! This includes Address Books, Calendars, Tasks, Blogs, Documents, Links, Passwords, and User Groups. Additionally, the main administrative user now automatically gets a global Address Book and Calendar for optional easy account-wide sharing.
LuxSci’s WebAide Calendars and Address Books have been improved to allows users to easily send contacts and events to other people via email as vCard and iCal attachments.

LuxSci has released some updates to its WebAide Widgets. These include:
- Search your address books quickly right from your Address Book Widgets using new integrated AJAX-based search functionality.
- Create new Blog entries right from your Blog widgets.
- Blog widgets now support automatic updates and paging through all of the entries in the blog.
- Custom HTML Widgets now contain a “notes” field where you can save information on where you get the custom HTML and how to edit/update it later.
Widgets keep getting more flexible. Soon to come: creation and sharing of additional Widget workspaces!

LuxSci is including one free WebAide collaboration license with all new accounts effective immediately. This license offers one user in the account the full range of LuxSci’s WebAide collaboration suite – calendars, tasks, address books, blogs, document storage, password storage, notes, web links, and user groups – for free. It also permits sharing of these tools globally with other users in the account.
Note that this offer only applies to accounts with email hosting at LuxSci. It does not apply to High Volume SMTP accounts and accounts with only Premium Email Filtering or Archival services.
If you order WebAides as part of your account using our ordering tools, the first license will be free.
If you have an existing account without WebAides and would like to try them out, the Main Administrator of the account should create a Support Ticket with the request and we can grant you one free WebAide license as well.

LuxSci’s Outlook WebAideSynch Plugin allows users to import, export, and synchronize their WebAide Calendars, Tasks, and Address Books with Outlook 2002+ with the touch of a button.
This Outlook Plugin is now available free to all users; previously, an Enterprise WebAides license was required. This means that users who have not purchased an Enterprise WebAides license now have access to this plugin to synchronize their Calendar, Address Book, and any shared global WebAides with their Outlook client. Synchronizing with Outlook also makes it easy to synchronize with most mobile devices that have the ability to synchronize with Outlook.
Outlook WebAideSynch works with Outlook version 2002 and newer. Existing users can download and install this plugin from LuxSci’s help pages: WebAideSynch: Synchronization Plugin for Outlook.

Tagging items has become one of the hallmarks of modern web applications. Delicious and FireFox allow you to tag your bookmarks, Facebook lets you tag people in photos. Flickr supports tagged pictures. Blogs permit you to tag your posts. The list goes on and on.
Tags are incredibly useful because they enable categorization of items in a dynamic and natural way. Items can have multiple tags and you can make them up yourself as you go, so that they are meaningful to you and in the context in which you are working.
The odd thing is that tags are not yet very prevalent in most mainstream email programs (except perhaps Gmail) and collaboration tools like contacts, calendars, etc. This is where LuxSci jumps in. LuxSci has had full tag support since June, 2007; in recent months, tagging has become easier and more powerful due to updates to our GUI (graphical user interface).
