Revised Custom Email Filtering Tool: LuxSci has revised its custom email filtering tool:
  • Users can now create filters that will forward messages or send notifications to their cellular phone via SMS.
  • Users can now specify their own custom bounce messages or notifications as an alternative to the default messages.
  • The "Move" actions in the filter list have been revised to make reordering the list easier; the Move Up/Move Down buttons have been replaced by a Move To button that will allow users to quickly move a filter to a new position in the order. In addition, users can now move more than one filter at a time.
  • Users can now edit filters by clicking on the name of the filter or by clicking the icon in the Edit column.
  • Filters can now quickly be enabled or disabled by clicking on the icon in the Status column.
  • Filters that are enabled will display an icon in the Status column identifying which action it is currently performing.
  • A new column has been added to the filter list that will let users change the color of the filter as it appears in the list. This is for better organization and does not affect the behavior of the filter itself.
  • Users can now sort the filter list by the title, order, status, or color of the filters.
  • The filter conditions section of the create/edit page has been revised; the "Use" and "Not" checkboxes have been replaced with dropdown boxes to make specifying conditions more intuitive.
  • New options have been added to the filter creation/edit page; users can now change the color of filters as they appear in the filter list, and they can add custom notes to provide supplementary information for each filter. Note that the color feature is not available in the Xpress portal.
  • Users can now create custom email filters that effectively remove email headers from messages (in addition to the previously available option for adding headers).
Revised Configuration and Tools Interface: LuxSci has revised its interface for user configuration and tool usage:
  • The "My Profile", "My Reports", "My Preferences", and "My Email Tools" areas have been unified into a single simple interface for managing "Configuration and Tools".
  • The unified interface has been extended to the account administration area as well making it easier and faster for administrators to manage user settings.

Improved Collaboration: LuxSci has improved it collaboration features:
  • Users without an Enterprise WebAide license can now share their personal address book and calendar globally with all users in their account. This provides the most basic and sought-after form of collaboration to all accounts for free.
  • The interface for sharing email folders and WebAides is now much more user friendly and consistent.
  • WebAides can now be globally shared with "all users in your domain".
  • If you have a WebAide license, you can share any WebAide with any user in your account, even with users who do not have a WebAide license.
  • Administrators can "force" the sharees of their WebAides to be automatically subscribed to them. This makes it easy to setup shared calendars and address books that everyone can use immdiately without needing to "set anything up".
  • The sharees of shared email folders and WebAides now see changes in the status of the items shared with them immediately without the need to "synchronize" or perform any kind of updating actions. I.e. synchronization for all users now happens immdiately upon any change to the shaing status of any folder or WebAide.
  • Users without WebAide licenses can now be members of a "WebAide User Group". This permits much more flexible sharing of WebAides and folders.
  • Global administrators, i.e. administrators of multiple accounts, can now share their WebAides and email folders with users in other accounts.

Premium Email Filtering Addresses Attachment-Based Spam: A proprietary "Deep Content Analysis" filter has been added to our "Email Defense" Premium Email Filtering solutions. This anti-spam filter targets attachment-based spam variations, specifically PDF spam. PDF spam is the latest generation of image spam, which uses graphics instead of other masking techniques to conceal an unsolicited advertisement's call to action.

When: The inclusion of this effective filter has been seamlessly integrated and has already begun protecting customers of LuxSci Email Defense. As a result, there are no service outages or visual changes to the system.

Impact: The Email Defense Service performance and reporting will continue to operate without any visual impact. This new filtering module enables protection from the increasing volume of messages that carry infected attachments. This behind the scenes filter is positioned to capture not only PDF spam but address future attachment spam variations as well.

Why: The addition of the Deep Content Analysis filter is in direct response to the influx of PDF spam; however, its abilities go beyond this specific spam variation. Our Threat Center continually monitors worldwide email traffic for emerging threats and develops solutions to address them before they affect our customers. Today, those attachments come in .pdf, but the Threat Center is always looking out for tomorrow.s spam variation. The Deep Content Analysis filter was developed with a feature-set that enables a quick response to future attachment spam variations.

Premium Email Archival: LuxSci now offers a Premium Email Archival solution for businesses that are required to monitor, store and retrieve company email messages in order to comply with electronic security regulations. Premium Email Archival minimizes the cost and risk associated with non-compliance, loss of proprietary information and inappropriate employee emails.

Premium Email Archival is court-tested to meet compliance requirements and offers permanent, immutable redundant, read-only storage of inbound and outbound email which is searchable in real time and provides mechanisms for importing and exporting email.

Premium Email Archival services are also available as a stand-alone service for those who have an existing email solution that they wish to keep.

FailSafe offers (a) automatic queueing of inbound email should your inbound servers be unavailable and (b) optional outbound filtering of email sent from your servers. Continuity offers (a) extended storage of queued email, and (b) WebMail-like access to queued email during your server downtime so that your users can still send and receive email messages.

LuxSci also now offers a "Budget" version of its Email Defense Premium EMail Filtering Solution. The "Budget" version includes spam, content, and attachment filtering without virus and worm filtering at a lower price point for organizations who already have virus filtering on the client side and who are very cost conscious.

Content Monitoring with Regular Expressions: LuxSci's outbound email content monitoring service now permits use of Perl regular expressions in the specifications of the content. This provides administrators the ability to match content patterns (like social security numbers, account numbers, etc.), rather than just keywords and phrases.

June 23, 2007

Format=Flowed Email: LuxSci has updated its email infrastructure so that all plain text email messages generated vis WebMail and other email tools are encoded as "format=flowed" (RFC 2646). Email Defense Enhancements: The following service advancements ae being introduced into the Email Defense service:
  • On-Demand Spam Quarantine Reports: Domain and Account Administrators will be able to generate Spam Quarantine Reports at any time, which can be delivered directly to users via email. Why? . On-Demand Spam Quarantine Reports enable administrators to better serve internal users who request immediate inventories of their quarantined messages.
  • Expanded User Account Views: Administrators can expand their User Accounts views to accommodate up to 100 lines of information, up from the current limit of 10 lines. The default setting will be set at 25 lines, and administrators will be able to adjust the setting between 10 and 100 lines. Why? . By expanding the amount of User Account information visible at any one time, administrators will gain a greater snapshot view of User information without having to move back and forth between pages.
  • Transport Layer Security Identifier: MX Logic will include information in the "Received" line of the message header of each encrypted inbound and outbound email that will note that the message is being securely delivered via Transport Layer Security (TLS). Why? . By adding TLS encryption information into the message header, administrators will be able to confirm that a secure, end-to-end TLS connection has been made.
  • Account Setup Tools: A Test Connectivity selector will be placed on the Inbound Server Setup page, which when clicked will test the connectivity between your email server(s) and the filtering servers. Testing connectivity will enable administrators to test their configuration and to identify potential issues with inbound server setup and configuration. The portal will also provide detailed setup instructions in the Outbound Server Settings section to assist customers with the configuration of their Outbound server(s), if appropriate. Why? . This feature is designed to make service setup procedures easier and more informative.

Email Folder Sharing in WebMail LuxSci's WebMail suite allows you to share selected email folders with other users so that they can have read-only or read-write access to the messages therein. Combined with message tagging and message annotation, folder sharing facilitates easy and powerful email collaboration. Email folder sharing in WebMail is a standard feature available to all LuxSci email users.

What can you do with Email Folder Sharing?

Users can:

  • Share your any number of their folders with other users in their accounts.
  • Choose if folders shared with them will be visible in WebMail or not by "subscribing" to only the folders they want.
  • Share folders as read-only or read-write depending on with whom they are shared.
  • Copy and move messages between shared folders by simply dragging and dropping.
  • Share with arbitrary combinations of individual users, everyone in their accounts, and everyone in their domains.
  • Make arbitrary groups of users that can be centrally managed to easily add and remove any user's folder entitlements. This feature requires an Enterprise WebAides license.
  • View the status of shared folders on their Welcome pages.
  • Use shared email templates.

Administrators can:

  • Automatically subscribe users to shared folders.
Email Message Annotation in WebMail: An annotation is extra information (a note) associated with a particular email message. LuxSci's WebMail enables you to add notes to any email message such that those notes are visible the next time you or anyone else looks at that message in WebMail, IMAP, or POP. This is especially useful when you are sharing your folder with others or want to keep track of the progress actions associated with particular email messages.

Annotation is implemented by removing the original message from your email folder and adding a new message that is identical to the original except for the addition of your notes. These notes are thus visible in any email client and all message details, including dates and message tags are preserved after annotation.

Email annotation in WebMail is a standard feature available to all LuxSci email users./

What can you do with Email Annotation?

  • Add notes to any email message in any folder to which you have write access.
  • Annotate a message any number of times.
  • Tell quickly if messages have been annotated or not via a configurable icon column in your WebMail message list.
  • Make annotations easily using a configurable tool bar command.
  • Annotate multiple messages at once with the same note.
  • Search for messages that have or have not been annotated, or search for text that may be in the annotations of your messages.
  • Use either plain text or HTML for your notes.
  • View the date and time any annotation was made, along with who made it, without having to manually save anything.
  • Keep track of the order of your notes. Annotations are pre-pended to your messages by default -- so you see all of the annotations first, starting with the most recent, followed by the message itself. You can optionally have the annotations appear at the end.
  • Check notes for spelling errors
Email Message Tagging and Color Coding in WebMail Email tagging enables you to color code and label your email messages with multiple keywords. This process helps you to both sort your messages into categories and to visually identify particular types of messages by color. This new and more visual system simplifies management of your email, especially if you are sharing your folder with others via IMAP or WebMail.

Email tags are implemented as "IMAP Keywords" and are thus compatible with any IMAP email client, such as Mozilla Thunderbird, that also supports them.

Email tagging in WebMail is a standard feature available to all LuxSci email users.

What can you do with Email Tags?

Users can:

  • Define any number of tags and associated colors.
  • Easily add and remove tags from one or multiple email messages.
  • Color code messages based on the tags with predetermined colors.
  • View all the tags associated with each message in their message list and message display.
  • Filter their email by tag and use tags as search criteria.
  • Define tags that display arbitrary text--including Unicode content.
  • Define special tags that display custom text different than the actual tag embedded in their email messages.

Administrators can:

  • Define global tags and colors to be made available to all users or users in specific domains.
Changes to the Email Folder Management Interface LuxSci has made significant changes to the user interface and facilities available to users under "Email Folders" area. The noteworthy changes to the email folders tool include:
  • The look and feel has been significantly improved.
  • The folder properties are now viewed and edited on the same page as the folder tree.
  • You determine the total number of messages and the number of unread messages in all of your folders. Similarly, you can also determine the total disk space used by each folder.
  • Copy/Move to New Folder: This new command allows you to easily copy or move ALL messages from one folder to another folder.
  • Auto-Archival: The auto-archival feature has a new option that allows you to have newly created archival folders be subfolders, rather than at the same level, to the folder archived. This provides for a better organized folder tree.
  • Duplicate Removal: The duplicate message removal feature has been enhanced with the addition of the new duplicate comparison criteria "tags and flags". This criterion allows you to include all custom tags associated with your messages and their flags (read, flagged, replied, etc.) when determining if two messages are to be considered duplicates of each other. Any difference in the tags or flags will result in the messages being considered "different".
  • Download Folder as EML: This command now allows you to download your folder as an archive of "EML" files (where each message is a separate file in the "EML" format). These standard files can be easily read by email programs like Outlook Express and Mozilla Thunderbird and thus allow you to easily access your downloaded email or to import it into other programs.
  • Review Tags: Message "Tags" in use in the folder can be viewed in the .Review Tags. section. It is also possible to remove these tags from the folder in this section.
  • Folder Sharing: This new section allows you to share your email folders with other users in a read-only or read-write manner.
  • QuickCheck: What used to be called "folder subscriptions" is now referred to as adding folders to the "QuickCheck" group. This is the group of folders whose status is displayed in your Welcome Page
  • Subscriptions: If one or more folders have been shared with you by other users, you can see all of these folders, from whom they are shared, and the level of access you have to them. You can also "subscribe" (and "unsubscribe") to these folders. Subscribed shared folders will be visible in your WebMail interface; unsubscribed ones are only visible in your Email Folders tool.
  • Folder Synchronization: Email folder "synchronization" now not only updates your folders so that they match what is actually on disk, it also updates your list of shared folders and the list of email templates available to you. This is performed when you login and go to your WebMail message list page, provided that there has not been a recent synchronization. As always, you can also use the synchronization commands in the WebMail message list page or the Email Folders tool to have your folders synchronized "on demand".
WebMail Message List and Message Display Updates: Several enhancements have been made to the WebMail interface. These include:
  • Optional tool bar commands for tagging and annotating messages; these can be configured in your preferences. You can also use new hot keys, Shift-T and Shift-N, to tag and annotate messages, respectively.
  • Optional message list columns for displaying the tags on your messages and if messages have been annotated or not; these can be configured in your preferences.
  • Holding down the control key while dragging and dropping messages will cause those messages to be "copied" instead of "moved".
  • Drag and drop moving of messages from a read-only folder will automatically perform a "copy" instead of a "move".
  • HTML message content no longer makes the message appear to have an "attachment" as most messages these days are formatted using HTML. However, HTML messages with attached images and messages with actual HTML documents attached will result in the "paperclip" attachment icon being displayed.
Account Administration Changes: The following updates have been made to our account administration tools:
  • User administration has been updated to provide administrators access to the revised "My Email Tools" area for each user. This replaces the individual administration pages for individual tools like email folders and email filtering with one area entitled "user's email tools".
  • Shared Folders: The advanced account administration settings allow you to control if your users and administrators can share folders with their entire domain and/or your entire account. These settings also allow you to enable or disable the use of "forced folder subscriptions", whereby administrators can force sharees to be automatically subscribed to selected folders.
  • Message Tags: You can configure default account-wide and domain-wide message tags and their respective colors.
  • Private Labeling: There is a new option for private labeled configuration under the "login" configuration page. This allows administrators to force all users logging into the Full portal (as opposed to the Xpress portal) to only use the JavaScript keyboard tool to enter their passwords.
The Member's Help and Documentation: LuxSci has made some significant changes in re-organizing its help in order to enable users to find aught-after documentation more easily. These changes include:
  • The main help page display the current most popular help articles
  • There is now a left navigation bar visible on all help pages that includes:
    • Help Search
    • A concise tree of major help areas
    • A list of the recent help documents that you have viewed
    • A list of all help documents that refer to the current document
    • A list of all help documents that the current document references
  • Documents can now exist in multiple categories. All categories in which a document exists are listed across the top so you can easily click to see all documents in those categories.
  • Easy access to a list of all categories and to all articles in each category
  • Separate articles have been created for all FAQs to make it easier to find targeted results to searches and to associate individual FAQs with individual articles.
  • Users can now remove the yellow highlights on search results by clicking on a "Remove Text Highlights" link below the search box.

Daily SMTP Limit Increased to 300 messages/day: LuxSci has increased its default limit on the number of email messages that can be sent daily by each user via SMTP from 200 messages/day to 300 messages/day. SecureLine Enhancements: LuxSci has made significant improvements to the SecureLine end-to-end email encryption service that make it much easier to use. These include
  • New SecureSend Portal: While SecureLine users have always been able to send secure email messages to anyone, it has not always been easy to receive secure email messages from folks without existing email security without at least sending them a secure message first. With the new "SecureSend Portal", anyone with an email address can send secure messages with attachments to any SecureLine user at any time and for free. The SecureSend portal is located at http://securesend.luxsci.com and this domain can be private labeled with your group's own vanity domain name.
  • Import and Export: SecureLine Escrow questions and answers saved in your address books can not be imported and exported with your address book data using CSV files. This additional makes it very easy to build your list of Escrow questions and answers offline in a spreadsheet or to merge them in from external data sources.
  • Default Escrow Question and Answer: A default question and answer for use when sending SecureLine Escrow messages can now be configured on a global, per-domain, and/or per-user basis. Whenever a secure message is sent to someone for whom security information has not yet been configured, the default question and answer are used to make the sending process quick, easy, and secure. This also makes sending outbound from email clients using SMTP simpler as you may not have to pre-configure your recipient information ahead of time.
  • Rich Text in the Escrow Portal: When sending replies to messages in the SecureLine Escrow portal, users can now utilize a Rich text editor to mark up the message text with font colors, boldness, etc.
  • Replies in the Escrow Portal: The process of replying to messages in the SecureLine Escrow portal has been revised so that it is always possible to reply to any messages that you have received there, even if it was sent from an email alias or non-SecureLine user. Additionally, users can now edit the subject lines of the messages when they are replying to them.
  • Sending Email To SecureSend Users: People who have registered to use the "SecureSend Portal" have specified their own security questions and answers. These questions and answers are now used by default whenever a SecureLine user tries to send a secure message to one of these people. This makes it easier to send them secure messages, as the sender does not have to make up or communicate a security question and answer to the recipient.

New Auto-Responder Features: LuxSci has improved its email auto-responders by adding two new features:
  • Scheduling: Users can now optionally specify a start and end date/time for their auto-responders to be enabled. The system will take care of turning them on and off and notifying the user when these events happen. Account administrators can also optionally choose to enforce a policy whereby all auto-responders must use scheduling.
  • Reminders: Users can now optionally specify a date after which they will receive a daily reminder to turn off their auto-responders (until they do so).
New Preferences: LuxSci added a couple of new user-preferences based on user feedback:
  • No Previews for Read Messages: Users can optionally disable message previews for messages that have already been read. For users on slow Internet connections, this can make their WebMail experience better by improving speed.
  • Always Show Sender and Recipient Email Addresses: By default, WebMail displays the name of the message sender or recipient in the message list. This name is taken from the message itself and is specified by the sender. This preference turns off this behavior and results in the display of the email address of the sender and recipient instead of the respective name in the message list.

New WebMail Interface Released: LuxSci's has released a new, cutting-edge WebMail interface which faster, better looking, and much more customizable than LuxSci's previous offering.

  • When you sort by Sender or Recipient, their email addresses are always displayed instead of their names, as this is the content actually employed by the search.

In this way, you will not lose the content of the message you are sending in any of these situations.
  • The HTML editor for email composition has been improved. The new version includes a "maximize" button that you can use to expand the editor to "full screen" while you are composing the message and shrink it back to normal when done.
  • When used in a pop-up window, the email composition screen now looks and feels much better.
  • Composition of HTML messages with inline images has been improved.

Email Folder Auto-removal of Duplicate Messages: LuxSci has added a feature to the Email Folders tool that allows users to find and remove duplicate messages in a folder based on message ID, subject, sender address, and size. Users can set this to run automatically on a nightly basis, or simply run it manually at the push of a button.
Restrict User Updates to Contact Information: As a slight refinement to the Account Admin Tools, administrators can now optionally restrict users in their account from updating their contact information (with the exception of the user's secret question and answer). This is in addition to the existing options that allow administrators to restrict users from updating their mail filters, auto-responders, mail forwarding, or WebMail signatures.

"I want to thank you for your service! It is high quality and very easy to set up. Now, my fiance and I have our own domain and email addresses to manage and use for life, regardless of any changes we make to our ISP. I'm also really happy with your customer service."
