SMS / Text Messaging Enhancements

LuxSci is introducing more and more features that support the the sending of text messages (SMS) to users’ mobile devices.  Some of these features include:

  • Send an SMS notification on the receipt of certain email messages of your choice.
  • Send an SMS notification when a web or PDF form posts data though our SecureForm service.
  • Send an SMS notifications as reminders for calendar events and and tasks.
  • Two-factor authentication for logging in to the web interface — a special login Token can be sent via SMS to your mobile device.

Two Factor Authentication

LuxSci has added two-factor authentication as an option for its web interface.

With two-factor authentication enabled, a user will first enter his/her username and password.  If that is successful, then a special Token will be sent to the user’s configured mobile device (as a text message / SMS) or an alternate email address configured for the user.  The user then enters this Token into the LuxSci web interface login screen to complete the login process.

Two-factor authentication can be configured on a per-user basis for any LuxSci user in the “Account > My Profile > Two-Factor Authentication” page.

Restrict Web Interface Logins by Country and/or Region

LuxSci has for a long time allowed account administrators to restrict from which IP addresses their users are permitted to login to the web interface.  Administrators can specify a list of IP addresses and IP blocks (CIDR blocks) along with a list of users exempt from these restrictions.

This service has been expanded.  Now, account administrators can restrict logins based on a chosen combination of countries and/or regions.  When a user tries to login to the web interface, that user’s IP Address is converted into the location from which s/he appears to be and that is compared to the list of allowed locations.

New and Improved Login Audit Trails

LuxSci has revised its user interface for accessing the audit trails of user logins, the “Activity Auditing Reports” area.  Additionally, LuxSci has added new reports for reviewing:

  • Unsuccessful POP logins
  • Unsuccessful IMAP logins
  • Unsuccessful SMTP logins / rejected SMTP connections
  • Successful FTP logins
  • Unsuccessful FTP logins
  • Successful SFTP / SCP /SSH logins
  • Unsuccessful SFTP / SCP /SSH logins

Archive Sent Bulk Email with the LuxSci High Volume Service

Long available with LuxSci’s standard email services, users of LuxSci’s High Volume Bulk Outbound Email service can now have copies of all sent messages automatically BCC’ed to an email address of their choice (at any service provider to whom receipt of these messages is acceptable).

Collection of copies of all sent email messages is crucial for anyone who needs to have all sent email archived for backup, auditing, or compliance reasons.

Video: Widgets and Workspaces Overview

LuxSci Widgets and Workspaces allow you to create custom, sharable pages in the LuxSci portal. These pages are customizable for widgets needed for certain tasks.

I.e. for a specific project, you may have a Workspace that contains widgets specific to that project: task lists, notes, RSS feeds, a view of an email folder, documents, links, calendars, and even custom third party widgets.

Add iCal and vCard Email Attachments to WebAide Calendars and Address Books

LuxSci WebMail supports the export of address book entries as vCard files and of calendar entries as iCal files.  Now, WebMail further integrates your email with your address book and calendars.

If you receive an email message with a vCard file or an iCal file (or even an Outlook/Exchange meeting notice) as an attachment:

  • That attachment will be parsed and displayed nicely inline in WebMail
  • You will be able to send vCard attachments to your WebAide Address Book to add as new contacts
  • You will be able to send iCal attachments to your Calendars as new events

Additionally, from within your address book or calendar you can select entrie(s) and click on “Send as vCard” or “Send as iCal” to compose a new email message with those entries attached.

LuxSci WebMail and WebAides makes it easy to send and receive calendar and address book entries between LuxSci users and other users whose email programs support these standard event and contact attachment file formats.

Convert Inbound Emails to Notes or Tasks, Automatically!

LuxSci has long offered the ability for WebAide-licensed users to create custom email filters which can take certain inbound email messages and save their content to a Blogs WebAide or save their attachments to a Documents WebAide.

The automatic processing inbound email based on filtering rules and storage into LuxSci’s collaborative tools automates many operations for many organizations.

Now, LuxSci’s custom email-to-WebAide filters support saving email messages to Notes and Tasks WebAides as well.

Notes: When storing an email in a Notes WebAide, the message content will be converted to plain text and saved as a new note with the note title being taken from the email subject.

Tasks: When saving an email to a Tasks WebAide, a new task entry is created that is due “now”.  This entry will have a title taken from your email subject, will contain all attachments in the original email, and will have a description taken from the content of your email message converted to plain text.

This is a great way to add notes or “to do” items by sending a quick email from your phone while you are “on the run”.  It can also be used to pick up automated alerts and other email messages and turn them into tasks or notes for later analysis.
